TutorTech Data Privacy Policy

Your privacy matters to us.

This Policy explains what personal information TutorTech collects, why we use it, who we may share it with and the choices and rights available to you.

It applies when you use the TutorTech website, learning platform, one-to-one tutoring, TutorTech Classes, the Resource Hub, Courses, Channels, private microsites and related features.

This is a privacy notice. We do not ask you to "consent" to everything we do with personal data. We use the lawful basis that fits each activity and ask for consent only where consent is the appropriate basis.

1. Information we collect

Account and contact information

This can include:

  • ·       your name, email address, phone number and account role;
  • ·       Parent/Guardian and Student relationship details;
  • ·       login, security and communication preferences;
  • ·       support requests, complaints and account correspondence.

Tutor and Creator onboarding information

If you apply as a Tutor or use Creator Features, we may also collect:

  • ·       identity and age-verification information;
  • ·       qualifications, experience, subjects and profile information;
  • ·       safeguarding training, DBS or other relevant background or child-protection check information;
  • ·       Tutor Agreement and policy acceptance records;
  • ·       payment, payout and tax information required by supported payment providers;
  • ·       Creator feature status and any commercial terms you have accepted.

Learning, Course and Channel information

Depending on the features you use, this can include:

  • ·       bookings, Class or Course enrolments and Channel subscriptions;
  • ·       attendance and participation;
  • ·       Course progress, completion, quiz or activity information where the feature records it;
  • ·       Resources accessed or downloaded;
  • ·       questions, comments or messages submitted through approved Q&A or community features;
  • ·       Course or Channel engagement information such as content views and interactions;
  • ·       reviews, ratings and feedback.

Resource Hub and Creator information

  • ·       listings, files, previews, titles, subject or level information and pricing;
  • ·       sales, payout, refund, chargeback and access records;
  • ·       copyright, safeguarding, moderation and quality-review records;
  • ·       AI-assisted content declarations and Educator IP Programme records where applicable.

Technical information

  • ·       IP address, device and browser information and security logs;
  • ·       pages and features used, timestamps and platform interactions;
  • ·       cookie and similar-technology data described in our Cookie Policy.

2. Why we use your information

We use personal information only where we have a lawful reason to do so. The reason depends on the activity.

  • ·       To create and manage accounts, bookings, purchases, subscriptions and platform access - usually because it is needed for a contract or our legitimate interests.
  • ·       To provide TutorTech Classes and learning features - usually because it is needed for a contract and to operate the service.
  • ·       To run Course and Channel access, progress features and Q&A - usually because it is needed for a contract or our legitimate interests.
  • ·       To verify Tutors and manage Creator eligibility - for contract steps, legitimate interests and legal obligations where applicable.
  • ·       To protect children, prevent fraud and keep the platform secure - for legitimate interests, legal obligations and, in exceptional cases, vital interests.
  • ·       To process payments, accounting, tax and dispute records - for contract, legal obligations and legitimate interests.
  • ·       To understand and improve how the platform works - for legitimate interests and, where required, consent for cookies or analytics.
  • ·       To send direct marketing - using consent or another lawful route permitted by law, with an opt-out available.
  • ·       To support optional search-engine indexing of Tutor profile information - using the lawful basis identified for that feature.

3. Children's information

Children may use TutorTech, so we aim to design and operate child-facing features with particular care.

What this means in practice

  1. ·       We aim to collect only the information needed for the service.
  2. ·       We use high-privacy settings where appropriate.
  3. ·       A child's information should not be public unless the feature genuinely requires it and appropriate safeguards are in place.
  4. ·       Tutors and Educators should receive only the Student information reasonably needed for the relevant teaching, Course or Channel feature.
  5. ·       We do not provide Educators with child contact details for their own off-platform marketing.
  6. ·       We may process and share information where this is necessary and lawful to deal with a safeguarding concern.
  7. ·       We assess new child-facing features where they create material privacy risk.

4. What Educators can see

An Educator may receive limited information needed to provide the relevant feature. For example, this may include a Student display name in a moderated Q&A, a question posted to a Channel, or limited enrolment or engagement information.

We may also provide aggregated information such as subscriber counts, content views or completion indicators. We do not routinely give Creators full child contact lists or Customer payment-card information.

Educators must use TutorTech user information only for the purpose for which we make it available and must follow the Tutor Agreement, Safeguarding Policy and platform data-handling instructions.

5. Who we share information with

We do not sell your personal information to advertisers.

We may share information with organisations that help us provide or protect the service, including:

  • ·       payment providers such as Stripe and banking or payment partners;
  • ·       hosting, learning-management, communication, security, analytics and support providers;
  • ·       approved Tutors, Educators or Class contractors, but only to the extent needed for the relevant service;
  • ·       schools, SEND providers or other organisations where a lawful arrangement and appropriate permissions apply;
  • ·       professional advisers, insurers, regulators, law enforcement or safeguarding authorities where necessary and lawful;
  • ·       a buyer or successor if TutorTech is involved in a corporate transaction, subject to appropriate safeguards.

6. International transfers

Some service providers, Tutors or contractors may be outside the UK. If UK personal information is transferred to, or made accessible from, another country and UK data-protection law requires a transfer safeguard, we will use an appropriate mechanism and proportionate risk assessment.

We also aim to minimise the amount of personal information made available to overseas contractors.

7. How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose it was collected and for legal, tax, safeguarding, dispute, security and audit requirements. Different records have different retention periods.

  • ·       Account records - while your account is active and for a reasonable period afterwards.
  • ·       Payment and transaction records - for relevant accounting, tax and dispute periods.
  • ·       Tutor onboarding and agreement records - for compliance, safeguarding and dispute purposes.
  • ·       Course and Channel subscription/access records - to support purchases, access, complaints and accounting.
  • ·       Safeguarding records - for as long as reasonably necessary to protect users and meet legal or professional obligations.
  • ·       Consent and preference records - for as long as needed to show what choice applied at the relevant time.

Where we no longer need identifiable information, we may anonymise or aggregate it.

8. Keeping your information secure

We use reasonable technical and organisational measures to protect personal information and restrict access to people and providers who need it for an authorised purpose.

No internet service can guarantee absolute security. Please protect your account credentials and tell us promptly if you suspect unauthorised access.

9. Your privacy rights

Depending on the circumstances, UK data-protection law may give you rights to access, correct, erase, restrict or object to processing, receive portable data and complain to the Information Commissioner's Office.

Where we rely on consent, you can withdraw it without affecting processing that was lawful before withdrawal.

Privacy requests: privacy@tutortech.co.uk. We may need to verify your identity. If a request concerns a child, we may also need to consider the child's age, understanding, rights and the authority of the adult making the request.

10. Service communications and marketing

Service communications

We may contact you by email, SMS or through the platform about your account, verification, Tutor application, onboarding, bookings, Classes, purchases, subscriptions, payments, security, safeguarding and other important service information.

These messages are needed to operate or protect the service and are separate from marketing. You may still receive important service messages even if you have opted out of marketing.

Marketing to Customers

Where permitted by law, TutorTech may use the "soft opt-in" to send existing or prospective Customers marketing about our own similar tutoring, Classes, Courses, Channels, Resources or related TutorTech services. We will provide an easy way to opt out when details are collected and in each later marketing message.

Marketing to Tutors and other users

Where a separate positive opt-in is required, we will ask for it separately from acceptance of the Terms of Service or this Privacy Policy. Marketing choices may be separated by channel, for example email and SMS.

We do not currently send third-party marketing messages on behalf of unrelated advertisers. If that changes, we will update this notice and obtain any permission required by law.

Your choices

You can unsubscribe from marketing or change your preferences at any time using the link or instructions in the message, through any available account settings, or by contacting us.

TutorTech does not allow Educators to use Student or subscriber information obtained through Courses or Channels for their own off-platform marketing.

11. Cookies and analytics

We use cookies and similar technologies as described in the Cookie Policy. Where consent is required for non-essential cookies or analytics, we will not use them until the required choice has been made.

12. Changes and contact

We may update this Policy as our services and the law change. We will communicate material privacy changes where required.
